How Much Does Custom Booking Software Cost?

What drives the price

The price depends on two things: how complex your booking rules are and how many other systems the software has to talk to.

Closer to the lower end:

  • one location or one type of service,
  • a standard booking flow: choose a service, a time and pay,
  • card payments through one provider,
  • email confirmations and reminders.

Closer to the upper end:

  • several locations, each with its own staff, rooms or equipment,
  • unusual rules: packages, memberships, deposits, approvals, different prices for members and guests,
  • integrations with your CRM, ERP, access control or single sign-on,
  • extra modules such as a kiosk, screens in the venue or an AI assistant,
  • a large migration from a tool that has no export.

You don't have to order everything at once. You can start with booking and payments and add the rest later. A smaller first scope means a smaller first price.

What the price includes

  • a discovery call and an architecture blueprint,

What the price does not include

  • Hosting. The software runs in your own cloud account, on your bill, or on our infrastructure, billed by actual usage. Never as a share of your revenue.
  • Payment fees. Your payment provider, such as Stripe, charges its usual fee per transaction. We add nothing on top.
  • Support after year three. After that, your team can run the software, we can keep it on a retainer, or you can split the work.

Compared with a platform you rent

A booking platform looks cheaper on day one. The cost shows up over time: a monthly fee, often per user or per location, and on many platforms a commission on every booking.

You can do the math for your own business in one line:

yearly cost = monthly fee × 12 + commission × yearly booking revenue

An example with made-up numbers: a platform charges $400 a month and 2% of $500,000 in yearly bookings. That is $4,800 plus $10,000, so $14,800 a year and $44,400 over three years. And the cost grows when your bookings grow.

If a ready-made tool does everything you need and the fees stay small, stay with it. Custom software pays off when the fees grow faster than your business, or when your rules don't fit the tool.

Compared with building from scratch
