Build vs Buy Booking Software: How to Decide

by Piotr Kozak

Most businesses should start by buying. A ready-made booking platform is quick to set up and cheap at the start. Building your own booking software makes sense later: when the fees grow faster than the business, when your rules don't fit the platform, or when bookings have to work with your other systems.

This post compares the options and gives you five questions to decide.

The four options

Rent a SaaS platform. You sign up, set your services and hours, and take bookings the same week. You pay every month, often per user or location, and many platforms also take a share of every booking. Your process has to fit the settings the platform offers.

White label platform. The same as SaaS, but with your logo and colours. It looks like yours. It still isn't: the rules, the data and the roadmap belong to the vendor.

Build from scratch. Your own team or a software house writes everything from zero. You get exactly what you want and you own it. It takes a long time, because most of the work goes into parts every booking system needs: the booking engine, payments, notifications, the admin panel.

Custom build from proven blocks. This is how we work. The common parts are already built and tested. Engineers spend the time on what makes your business different. You get your own software, with the code handed over, in weeks rather than months, for a fixed price.

Five questions to decide

1. Does a ready-made tool do everything you need?

Write down how you take bookings today, step by step. Then check it against the platform. If everything fits without workarounds, buy. If your team copies data between tools or keeps a spreadsheet next to the platform, that is a sign you are outgrowing it.

2. How fast do the fees grow?

Add up a year of platform costs: the monthly fee times twelve, plus the commission times your yearly booking revenue. Then do the same for next year's plan. If the number grows faster than your business, owning starts to pay off. We show the math in How Much Does Custom Booking Software Cost?

3. Do bookings need to work with other systems?

A CRM, an ERP, access control, your own mobile app, single sign-on. Platforms connect to some tools. Your own software connects to anything that has an API.

4. Who should own the customer data?

On a platform, your customers and their history sit in the vendor's account. Moving away can be hard, especially when there is no full export. With your own software, the data is in your database, in your cloud or ours, under your rules for GDPR and data location.

5. Who will look after the software?

This is the fair worry about building. With us, three years of support are included. After that, your team can run it, we can keep it on a retainer, or you can split the work. The code is standard Next.js and Node.js, so any developer can work on it.

When to buy

  • You are just starting and still learning how you will sell.
  • You run one location with a simple booking flow.
  • A platform does everything you need and the fees stay small.

When to build

  • Fees or commission grow faster than your revenue.
  • Your rules don't fit: packages, memberships, deposits, approvals, several things booked at once.
  • You run several locations or plan to open more.
  • Bookings have to work with your CRM, ERP or your own app.
  • You want the booking flow in your own brand and the data in your hands.

How to lower the risk of building

Building used to mean a long project with an unknown end. You can avoid that:

  • See it before you pay. We send a clickable prototype on your data and a quote within 48 hours of the brief. Here is how that works.
  • Fix the price. The price is agreed for a defined scope before the build starts.
  • Keep the old tool running. Your data moves over while the old tool still works, so bookings never stop. The migration process.
  • Own the result. The repository is transferred to you with full documentation.

Frequently asked questions

Is building always more expensive than buying?

Not over time. Buying is cheaper at the start. Building costs more at the start and nothing per booking after that. Which one is cheaper depends on how big your business is and how fast it grows.

Can we switch from a platform later?

Yes. We move your customers, bookings and history, even when the platform has no export. The old tool keeps running until the data matches.

How long does building take with you?

The build itself takes 2 to 3 weeks. Kickoff to production takes 6 to 8 weeks, including discovery, migration and handover.

Find out which one fits you

If you are unsure, send a brief. Within 48 hours you get a clickable prototype and a fixed price, and you can compare it with what you pay today. The full picture of what we build is on the custom booking software page.
