When Calendly is no longer enough
Calendly is the easiest way to let people book a meeting, with a strong free plan, payments through Stripe and PayPal, and a mature API. If it covers how you work, stay with it. This page is for the moment your bookings become more than meetings.

Where Calendly fits
When is Calendly the right choice?
For booking meetings, Calendly is hard to beat. Stay with it when:
- People book meetings with you or your team: sales calls, consultations, interviews.
- One-on-one and group events cover what you offer.
- Payment at booking through Stripe or PayPal is all the checkout you need.
- A Calendly link, or its page embedded on your site, is fine for your customers.
Signs
How do you know you have outgrown Calendly?
You book rooms or equipment
Calendly has no dedicated rooms or resources feature. Its own help suggests workarounds, such as a paid seat for each room.
Bookings come in through an API
Since April 2026, creating bookings through the API is capped on paid plans below Enterprise: 10 a minute, 50 an hour and 100 a day per user.
Your rules have no setting
Prices by date, approvals, capacity that depends on staff and space, a process in several steps.
Your own domain matters
Booking pages live on calendly.com. You can rename the link or embed the page, and Calendly’s help describes no custom domain option.
Your data must stay in the EU
Calendly stores data in US data centres and transfers EU data under Standard Contractual Clauses. Its help mentions no EU hosting option.
The bill grows with every seat
From $10 or $16 per seat a month. Enterprise starts at $15,000 a year, with at least 50 seats.
Side by side
Calendly or a system you own?
Calendly is rented and shared with every other customer. Your own system is built for your rules and the code is yours.
What gets booked
With Calendly: Meetings with people, one-on-one or in groups.
With your own system: Anything you rent or sell by time: people, rooms, equipment, places, tickets.
Price
With Calendly: Per seat, every month. Enterprise from $15,000 a year.
With your own system: One fixed price for the build. No fee per seat.
API
With Calendly: Bookings through the API capped at 100 a day per user below Enterprise.
With your own system: Your own API, with the limits you set.
Data
With Calendly: In US data centres, exported as CSV files.
With your own system: In your database, in the region you choose, with the full history.
Cost
Is your own system cheaper than Calendly?
Calendly is free for one event type. Standard starts at $10 per seat a month and Teams at $16. For 10 people on Teams that is at least $1,920 a year. Enterprise starts at $15,000 a year.
A system we build costs $15,000 to $50,000, paid once. For a small team Calendly is cheaper and will stay cheaper. Your own system pays off when Calendly holds the business back: rooms it cannot book, rules it cannot express, or an Enterprise contract you would need only for its limits.
After the build there is no subscription and no commission on bookings. Hosting is billed by usage, and three years of support come with the project.
Migration
How do you move off Calendly?
Calendly exports meetings as CSV files, and its API reads event types and bookings, so your upcoming meetings come with you. We move them before the switch.
- 01
Export
You export meetings from Calendly, or give us API access. We tell you exactly what we need.
- 02
Map
We match event types, hosts, invitees and upcoming meetings to the new system.
- 03
Run side by side
The new system runs on your data while Calendly still takes bookings, so you test with no risk.
- 04
Switch
We point the booking links on your website to the new pages. Then you cancel Calendly.
Questions
What do people ask first?
No. For booking meetings it is one of the best, and its free plan is generous. We build systems for businesses whose bookings are more than meetings.
There is no dedicated feature. Calendly’s own help suggests workarounds, such as adding each room as a paid user on a Collective event. A system we build treats rooms, equipment and places as things to book, with their own capacity and rules.
Yes. Every system we build has its own API and can include an MCP server, so AI assistants book within the limits you choose.
Calendly stores data in the US. A system we build runs in the region you choose, in your cloud or ours, and you hold the keys.
No. There is no commission on bookings. Payments go to your own Stripe or Adyen account.
