# When Cal.com is no longer enough

> Cal.com is a strong scheduler for teams that book meetings. Here is when a business outgrows it, and how moving to a booking system you own works.

Cal.com is a strong scheduler for teams that book meetings: routing forms, round robin, many integrations and a free plan for one person. If it covers how you work, stay with it. This page is for the moment you need more than meetings.

When Cal.com is the right choice. For teams that book meetings, Cal.com is a very good choice. Stay with it when:
- You book calls and meetings: sales, support, recruiting, consulting.
- Round robin and routing forms decide who takes each meeting.
- Your calendars and your CRM are on its list of integrations.
- You need SOC 2, HIPAA or ISO 27001, and the Organizations plan fits your budget.

Signs you have outgrown Cal.com:
- You book rooms, equipment or places: Cal.com schedules people. It has no dedicated resources module: a room is set up as a separate bookable account linked to a room calendar.
- Capacity is more than seats: “Offer seats” lets several people book one slot, but it turns off guest and opt-in bookings. Classes, tickets and passes need more.
- The bill grows with every user: Teams costs $12 per user a month and Organizations $28, on yearly billing. With dozens of staff that adds up every year.
- You counted on open source: In April 2026 Cal.com moved to closed source. The public code is now Cal.diy, without team features, for personal use.
- Your data must stay in the EU: Cal.eu closes on 1 November 2026. Enterprise customers keep it only until their contract ends.
- Bookings are your product: Customers book, pay and come back, with accounts, passes and prices by date. Cal.com is built around meetings in calendars.

Cal.com or a system you own:
- What gets booked: Cal.com: People's time, in their calendars. Your own system: Anything you rent or sell by time: people, rooms, equipment, places, tickets.
- Price: Cal.com: Per user, every month: $12 on Teams, $28 on Organizations, yearly billing. Your own system: One fixed price for the build. No fee per user.
- Code: Cal.com: Closed source since April 2026. The open Cal.diy has no team features. Your own system: Your own repository, with documentation. Any team can work on it.
- Data: Cal.com: On Cal.com's servers. Cal.eu closes on 1 November 2026. Your own system: In your database, in the region you choose, with the keys in your hands.

Cost:
Cal.com is free for one person. Teams costs $12 per user a month and Organizations $28, both on yearly billing. For 10 people on Teams that is $1,440 a year. For 50 people on Organizations it is $16,800 a year.
A system we build costs $15,000 to $50,000, paid once. For a small team Cal.com is cheaper and will stay cheaper. With many users, your own system can cost less within a few years, and it fits your process instead of the other way round.
After the build there is no subscription and no commission on bookings. Hosting is billed by usage, and three years of support come with the project.

Moving off Cal.com. What lives in Cal.com is mostly event types, availability and bookings, and your calendars hold the rest. We move what you need before the switch.
1. List: We list your event types, routing rules, availability and integrations, and what each one does for you.
2. Copy: We copy bookings through Cal.com's API, or from your calendars, and map them to the new system.
3. Run side by side: The new system runs on your data while Cal.com still takes bookings, so you test with no risk.
4. Switch: We point the booking links on your website to the new pages. Then you cancel Cal.com.

FAQ:
- Q: Is Cal.com a bad tool?
A: No. For teams that book meetings it is one of the best. We build systems for businesses whose bookings are more than meetings.
- Q: Is Cal.com still open source?
A: Not since April 2026. The public repository is now Cal.diy, under the MIT license, without teams, workflows or SSO. Cal.com recommends it for personal, non-production use.
- Q: Could we host Cal.diy ourselves instead?
A: You can, but Cal.com warns it needs advanced server, database and security skills, and the team features are gone. If you run your own code anyway, it can be code built for your bookings.
- Q: What about keeping data in the EU?
A: Cal.eu closes on 1 November 2026. A system we build runs in the region you choose, in your cloud or ours, and you hold the keys.
- Q: Do you take a share of our payments?
A: No. There is no commission on bookings. Payments go to your own Stripe or Adyen account.
