# When Acuity Scheduling is no longer enough

> Acuity Scheduling suits solo and small teams. Here is when a business outgrows it, what your own system changes, and how moving off Acuity works.

Acuity is a mature, affordable scheduler with intake forms, packages and gift certificates. If it covers how you work, stay with it. This page is for the moment it stops fitting: more staff and rooms, your own rules, your own data.

When Acuity Scheduling is the right choice. For many service businesses Acuity is the better choice. It is cheap, ready today and well supported. Stay with it when:
- You work alone or in a small team, and clients book a time with one of you.
- Intake forms, packages and gift certificates cover what you sell.
- You need HIPAA support and the Premium plan, with its signed BAA, is enough.
- A branded booking page on an Acuity address is fine for your customers.

Signs you have outgrown Acuity Scheduling:
- You hit the calendar cap: Every staff member or location is a calendar. Premium stops at 36. Past that is Enterprise, with no published price.
- Your rules have no setting: Bookings depend on things Acuity cannot express: equipment, room capacity, approvals, prices that change with demand.
- Bookings feed other systems by hand: Someone copies bookings into your ERP, CRM or invoicing every day, or keeps a second system in step.
- You want your own domain and brand: Customers book on an Acuity address. Removing the “Powered by Acuity Scheduling” line needs Premium.
- Your data must stay in a region: Acuity belongs to Squarespace, whose privacy policy transfers EU data to its servers in the US. It mentions no option to keep it in the EU.
- You need an API around your data: Acuity lists API access on Premium, and the API does what Acuity exposes. Your own system gets an API built for your data.

Acuity Scheduling or a system you own:
- Rules: Acuity Scheduling: The settings Acuity offers, the same for every customer. Your own system: Your booking logic, written for how you work.
- Growth: Acuity Scheduling: Up to 36 calendars on Premium, then an Enterprise plan with no public price. Your own system: As many staff, rooms and locations as you have, with no price per calendar.
- Data: Acuity Scheduling: Run by Squarespace, which transfers data to its servers in the US. Exported as CSV files. Your own system: In your database, in the region you choose, with the full history.
- Brand: Acuity Scheduling: Acuity booking pages. The “Powered by” line goes away only on Premium. Your own system: Your domain and your design, with no other company's name.

Cost:
Acuity costs $16 to $49 a month on a yearly plan, for 1 to 36 calendars. Even Premium is under $600 a year. A system we build costs $15,000 to $50,000, paid once.
So price alone is rarely a reason to leave Acuity. If cost is your only problem, stay. Your own system pays off when Acuity holds the business back: work done by hand around it, bookings lost to rules it cannot express, or growth past its plans.
After the build there is no subscription and no commission on bookings. Hosting is billed by usage, and three years of support come with the project.

Moving off Acuity Scheduling. Acuity exports appointments and clients as CSV files, so your history comes with you. We move it before the switch, so nothing is lost and nobody has to book again.
1. Export: You export appointments, with intake form answers, and clients from Acuity. We tell you exactly what to tick.
2. Map: We match Acuity's fields to the new system: services, staff, clients and upcoming appointments.
3. Run side by side: The new system runs on your data while Acuity still takes bookings, so you test with no risk.
4. Switch: We import the last changes and point your booking links to the new pages. Then you cancel Acuity.

FAQ:
- Q: Is Acuity Scheduling a bad tool?
A: No. It is a mature, affordable scheduler, and for most small service businesses it is the right choice. We build systems for businesses that have outgrown it.
- Q: Can you keep our Acuity booking history?
A: Yes. Acuity exports appointments and clients as CSV files. We import them, with intake form answers, so the new system starts with your full history.
- Q: How long does the move take?
A: The build takes two to three weeks. Kickoff to production is six to eight weeks, migration included. Acuity keeps taking bookings until the switch.
- Q: Do you take a share of our payments?
A: No. There is no commission on bookings. Payments go to your own Stripe or Adyen account.
- Q: Can we keep our Squarespace website?
A: Yes. The booking pages run on your own domain and any website can link to them, a Squarespace site included.
